Let’s start with a few definitions so we’re on the same page. In simple terms:

  • Program. Programs are “containers” that have a defined starting point but may not have a defined endpoint. i.e., They may be ongoing indefinitely. Programs are made up of multiple projects and tasks.
  • Project. Projects are “containers” with defined beginning and finishing points (usually dates). Projects are composed of multiple tasks.
  • Task. Tasks are the basic “building blocks” of projects and programs. They’re the activities you do to move yourself/your project/your program closer to stated goals.

Programs, projects, and tasks generally have defined inputs, outputs/deliverables, scope, and allocated resources (e.g., time, money, people, etc.)

As an FYI, my PM tech stack includes: Asana, AirTable, Trello, Notion*, Google suite, MS Office suite, and email. I use different tools for different needs. It may take you some trial and error to find a combo of tools to create a system that suits you — that’s normal. And, you may need to evolve your PM stack over time as your needs shift.
